Support the Human Resources Manager to enhance (qualitatively and quantitively) the services provided by the Human Resources Department in the mission. Respond to additional tasks requested by the HR Manager.

Key activities in your role will include

Objective 1: Support the day-to-day HR administrative process (40%)

  • Maintain a proper filing of employee personal files following ACF archiving SOP.
  • Maintain a proper Archiving on HRIS for ACF personal files.
  • Ensure the appropriate up-dating of information on the HRIS.
  • Participate in the TEAMS Channel archiving exercise and ensure all documents are updated.
  • Plan staff visit to the office monthly to ensure all documents are signed and updated.
  • Follow-up with staff to submit requested documents to NSSF and insurance.
  • Work Closely with the HR officer of the master leave database and ensure timely update of leave forms.
  • Support the HR Manager and Officer in leave requests and leaves follow up.
  • Support in the management of accommodation bookings (Guest House and hotels).
  • Assist in training staff on the use of HR tools.
  • Provide operational HR Support with recruitment and induction. 

Objective 2: Support the training function of Human Resources Manager (40%)

  • Management of Virtual Campus (dedicated training website)
  • Enroll new employees on Virtual Campus and ensure their full briefing on the platform.
  • Activate the training requested by any employee on a weekly basis.
  • Troubleshoot and liaise with HR manager for any technical problem.
  • Update the HR Manager monthly on the training status of staff on virtual campus and provide statistical data. 
  • Provide support on guidance for staff on Virtual campus when needed.

Objective 3: Secretarial support in various HR tasks (20%)

  • Translate to/from Arabic/English as needed (memos, messages, letters, meeting minutes, e-mails etc.)
  • Cooperate with logs in preparation of Action Against Hunger ID Cards for all new employees.
  • Liaise with all departments on issues relating to HR reporting back to the HR manager when needed.
  • Assist in developing and strengthening HR system, policies, and structure in the base. 

Objective 4: Security

  • Respect the security rules specified in the mission and base security plan, see to it that the team under his/her responsibility complies with the security plan and perform the security management tasks that can be assigned in its protocols.
  • Communicate to the security managers of the working location any security related information or noncompliance with the security plan.

Objective 5: Support humanitarian activities of Action Against Hunger

  • Support the emergency interventions of the organization as per the employee’s abilities.
  • Support any activity that helps reaching our humanitarian goals, as per the employee’s abilities.
  • Promote Gender Balance in teams when recruiting.

Do you meet the profile required criteria?
  • Bachelor in HR, business administration, management, or another relevant Diploma. 
  • HR knowledge about recruitment, training, and administrative follow up an asset
  • Knowledge of NSSF, Ministry of Labor and Ministry of Finance requirements for employers
  • Ideally 1 year of experience as HR assistant, Secretary, Administrative assistant, or Customer service
  • Experience in using relevant HR software’s and personnel management tools.
  • Experience in Archiving and maintaining employee files. 
  • Experience in Data management. 
  • Fluent in English and Arabic. 
  • Excellent knowledge of written Arabic and English and ability to translate to/from English/Arabic a strong asset
  • Excellent knowledge of Excel and Office Package a must.
