Under the supervision of the compliance manager and the functional Head of base Officer, s/he will:

  •    Support in the archiving procedure implementation in the Base. 
  •     Follow up on the correct execution of each department archiving procedure from 2018-2022 and MoF request
  •     Coordinate the consolidation of each contract archiving consolidated dossier. 
  •     Follow up and coordination of the response to any preventive control. 
  •     Gain exposure to the different technical departments (WASH, FSL, Nutrition, Health) to develop basic technical knowledge and enhance skills relevant to the humanitarian sector.
  •     Participate in field visits with technical teams to observe and understand project implementation in real settings.




Key activities in your role will include

Objective 1: Coordination of the digital archiving in the Zahle Base for previous period (50%)

    Responsible for

  •     Managing the digital Archiving process 2018-2022
  •     Addressing any requests from other departments related to archiving.
  •     Scan all physical documents per each department and post on Teams
  •     Coordinate between compliance and technical departments
  •     Coordinate and support between departments.
  •     Consolidate and report to line manager

Objective 2: Learning, Exposure to Technical Departments, and Field Visits (25%)

    Responsible for

  •     Participating in short-term learning opportunities in WASH, FSL, Nutrition, and Health departments.
  •     Accompanying technical teams on field visits to observe project implementation.   
  •     Attend orientation sessions with each department to understand their work.
  •     Support each department in basic administrative or field-related tasks, as applicable.
  •     Assist in data entry, reporting, or logistics to gain hands-on experience.
  •     Participate in team meetings and discussions to gain insight into sector-specific activities.
  •     Join field visits to observe community-based projects, infrastructure work, and humanitarian interventions.
  •     Document key learnings from office and field exposure and present a summary report at the end of the assignment.


Objective 3: Audit (15%)

    Responsible for

  •     Support the support department in the auditing preparation 
  •     Support in the development and implementation of compliance procedures and policies
  •     Update the Audit follow-up on teams 
  •     Inspect items delivered from bases and report in case of pending issues or challenges
  •     Record progress of audit requirements collection and report it with Compliance Manager
  •     Support bases and technical in collecting supporting documents if needed
  •     Supports in the update of base workflow in audits’ preparation
  •     Prepares the first draft of quality of requirements before sharing with audits as per internal policies
  •     Coordinates with bases the delivery of supporting documents to/from coordination
  •     Ensure proper hard copies of archiving of assigned audit documents
  •     Ensure proper soft copies archiving of assigned audit documents
  •     Support in preventive control and timesheet analysis

Objective 4: Archiving Room (10 %)

    Responsible for

  •     Support Zahle base in arranging the archiving room 
  •     Support the base in arranging the archiving room
  •     Create the inventory list of the documents
  •     Ensure that all folders are labeled correctly and easy to access
  •     Arrange archiving documents per Technical departments

Objective 5: Support humanitarian activities of Action Against Hunger

  •     Support the emergency interventions of the organization as per the employee’s abilities.
  •     Support any activity that helps reaching our humanitarian goals, as per the employee’s abilities.
  •     Promote gender equality within the humanitarian and/or development work

Objective 6: Gender & Safeguarding (cross-cutting)

  •     Promote safe and equitable environments, through knowledge and application of the protocol against harassment and gender policy.
  •     Knowledge and compliance with safeguarding policy
  •     Promote gender equality within the humanitarian and/or development work





Do you meet the profile required criteria?
  • Compliance, Business Administration, Accounting, Audit, Law
  • Experience is not required
  • Windows, MS Office. Very good command of Excel
