Human Resources Assistant (Daily Workers focal point) – Middle Area
General Objective:
The Human Resources (HR) Assistant (Daily Worker focal point) will support the initial creation and management of the Daily Worker (DW) pools, lead on DW recruitment and onboarding, contracting, well-being, and payments, and in addition, can be asked to support on other HR or Admin tasks as they come up.
Objective 1: Support the Daily Worker pools recruitment and management process (90%):
Tasks
In close collaboration with the HR Manager, HR and other departments, act as internal and external focal point for the Daily Workers pool creation (recruitment, onboarding, and contracting) as well as the subsequent management (payments, well-being, conflict resolution).
Manage the Daily Worker pools and contract database. Organize, update, clean and archive all relevant data files.
Lead on and support the other Program and Support departments with the timely and correct preparation of all monthly requests for daily workers and subsequent timesheets (digitally when available).
Lead on and support the Finance department with the preparation of the monthly payment dossiers for active Daily Workers.
Proactively provide feedback and suggestions on further improvement or development of the Daily Worker processes.
Actively uphold the Daily Worker policy, ACF HR policies and other internal regulations.
Objective 2: Other HR and Administrative tasks (10%):
Support with the following if requested by the HR manager.
Prepare, under the supervision of HR officer Gaza staff employment contracts, contract amendments and contract extensions.
Follow-up and update on regular basis, the Gaza employees’ files, and make sure that all documents are available, signed and correctly archived.
Follow-up the attendance system for Gaza employees, prepare the attendance sheets and ensure correct signing and proper archiving.
Follow up the leave requests for Gaza staff members and maintain up to date records of validated leave requests according to the Internal Regulations.
Prepare the Gaza base monthly payrolls and salary advances under the supervision of the HR Officer
Distribute monthly salary slips to Gaza employees.
Prepare and follow up HR letters and documents upon request (Working certificate, probation period letters, exit checklist ... etc.).
Support with the onboarding or exit processes of staff members.
Follow up the signing of timesheets through the available tools.
Any other HR or administrative tasks that may be needed.
Bachelor’s degree in HR, (Business) Administration, IT or any related area.
Basic knowledge of, or demonstratable interest in, Human Resource Management. Strong IT and data management skills (Excel, MS Forms, Google Docs, SharePoint, Kobo).
Experience in HR/Administration or related field.
Experience working with international or national NGO.
Experience in emergency and highly volatile contexts.
Understanding of Gaza emergency context and national regulations.
Excellent organizational skills, including time and stress management.
Ability to be flexible and work well under pressure in a fast-paced multi-tasking environment.
Knowledge of ACF and its work in Gaza is an asset.
Fluent spoken and written Arabic.
Good English Language level both spoken and written.
Very strong computer skills in MS-Office (Excel, Word, SharePoint, Outlook), demonstrable experience in data management and skilled in online forms e.g. MS Forms, Google Docs, Kobo).
Good understanding of issues related to the promotion of gender equality or personal commitment to gender equality.
