The Assistant Accountant will provide support to the Capital Admin Manager and Mission accountant and wider finance team by helping to prepare financial statements, and accounts, processing invoices and payments, preparing VAT and NRT documents and supporting the Beirut Finance Department archiving.


Key activities in your role will include
  • Objective 1: To ensure the appropriate accounting registration of Coordination office (35%)

     

    - Support in the basic accounting closure by the 5th of each month as per ACF procedures (accounting closure checklist).

    - support on contracts consolidation

    - Record all transactions including Interco expenses in the post backs ensuring the accuracy of all information in line with Action Against Hunger Procedures (descriptions, CCOST, accounting codes, supplier codes, etc.) and post them in Agresso.

    - register all EDMAS and Interco expenses

    - Support finance in the matching of all treasury and payables accounts related to ACF Coordination Office.

    - Revise the coherence between accounting codes and analytical categories, including local partners registration.

    - Ensure that all tax rules and regulations (VAT, NRT, Daily Workers, etc.) are respected (invoices, registration in the accountancy, etc.) and report to the Line Manager or/and Finance Coordinator any discrepancies or problems

     

    Objective 2: To ensure the accountancy control (35%)

     

     

    • Revise, on a weekly basis, accounting registration to ensure a good quality of the accountancy.
    • Suppliers and staff match monthly.
    • Report to Accounting manager all the missing/incomplete documents, and any doubts related to accountancy.
    • Ensure that all invoices meet internal standards of invoicing (date, Supplier, name, address, contact details, quantity, specification, per unit and total price of items, signature, and stamp of supplier, should be legible if handwritten, translation into English) before payment.

     

    Objective 3: To ensure the appropriate physical and digital archiving of all financial supporting documents (30%)

     

    Tasks: 

    -following ACF’s archiving policy digitally and physically on daily, monthly basis

    - archive the invoices related to VAT and NRT for Quarter revision

    - Support the consolidation of all financial supporting documents of the mission assuring the correct naming of the documents.

    - Report to line manager any missing or incomplete documents.

    - Participate in the preventive controls requested by HQ and Accounting and Finance Manager monthly.

    - Support and participate in the Audits when required by HQ, Finance Coordinator and Accounting and Finance Manager.

    - Support on the consolidation of contract archiving as per ACF Procedure

     

    Objective 4:  Security 

     

    -Respect the security rules specified in the mission and capital base security plan, see to it that the team under his/her responsibility complies with the security plan and perform the security management tasks that can be assigned in its protocols.

    -Communicate to the security managers of the working location any security related information or noncompliance with the security plan.

    -Keep the confidentiality and security of all ACF records and information gathered in the course of employment with ACF.

    Objective 5 Support humanitarian activities of Action Against Hunger

     

    Support the emergency interventions of the organization as per the employee’s abilities.

     

    Support any activity that helps reaching our humanitarian goals, as per the employee’s abilities.

     

    Promote gender equality within the humanitarian and/or development work


Do you meet the profile required criteria?
  • Accountant or related and professional experience
  • Accounting, cash management and archive
  • At least 1 years’ experience in accounting, preferably in an NGO Setting.
  • Windows domain, Microsoft Office, Compulsory expertise in Excel, ERP, accounting programs or use of excelerators are a plus
